Build or buy: a quick test

Custom software isn't always the right answer, and we'll say so on the first call. Buy a subscription product when:

  • it covers most of how you work and the gaps are minor
  • you can change your process to fit it without losing customers
  • the monthly cost over three years is less than the build plus running costs

Build when the gaps are costing you every day in retyping, spreadsheets on the side or orders going wrong, or when the way you work is what customers choose you for. A middle route is common too: keep your accounting system, and build the piece that's missing around it, such as a portal, an AI agent or AI order processing.

How we scope and quote

Every project starts with a 20-minute walkthrough, then a fit check where we map the users, data and systems involved. The quote you get back is fixed, and you know the full cost before any work starts. A useful quote, from us or anyone, should contain:

  1. In scope: every screen, user type, report and integration, listed.
  2. Out of scope: what isn't included, written down so nobody assumes it.
  3. Acceptance: how you'll check each part works before signing it off.
  4. Plan and timeline: the order things are built in and when you'll see them.
  5. Running costs: hosting, app store fees, AI usage and third-party subscriptions, listed separately from the build.
  6. Changes: anything new is scoped and quoted before it's built.

What you should hold at handover

Whoever builds your software, these should be in your company's name, not the developer's:

  • the domain name and DNS
  • the hosting or cloud account, in the region you need
  • app store accounts: the Apple Developer Program costs 99 USD a year and asks organisations for a D-U-N-S number; Google Play has a one-off US$25 registration fee
  • API keys for AI providers, WhatsApp, payment and courier services
  • the code repository, with access agreed in writing
  • an export of your data; on the systems we build it's available as CSV any time

Working with a team in India, from any time zone

Our developers are in India, and we work with clients in other countries remotely, over video calls, shared project boards and your own accounts. India Standard Time is UTC+5:30 all year, with no daylight saving. That puts India 4.5 hours ahead of the UK in summer and 5.5 hours ahead in winter, and 9.5 hours ahead of US Eastern time in summer and 10.5 in winter.

In practice, we agree meeting times that suit your time zone: a European morning overlaps with the Indian afternoon, and a call early in the US Eastern morning lands in the Indian evening. Agree call times, a single point of contact and how quickly messages get answered at the start, with us or any remote team, not after something goes wrong.

The technology

We choose the stack per project and explain the choice in the quote. In general that means mainstream, well-documented tools rather than anything obscure, so another developer could pick the work up later: a web framework and relational database for portals, cross-platform or native code for apps, official APIs for accounting systems such as Xero, QuickBooks, Zoho Books and Sage, commercial AI APIs under a data processing agreement, and n8n or Make where a workflow tool fits better than code. If you're in the UK

Our live product runs for a wholesaler there, so the local details are familiar ground: VAT invoices in the format HMRC expects, company and VAT-number checks through Companies House and HMRC, processor contracts under UK GDPR, and hosting in the UK or EU on request. Questions buyers ask

How much does custom software development cost?

It depends on the number of screens and user types, the systems it has to connect to, how much data needs moving across and whether you need mobile apps as well as a web app. We don't publish a price list. After a 20-minute call we give a fixed quote, so you know the full cost before any work starts.

Is bespoke software better than off-the-shelf?

Only when off-the-shelf doesn't fit. If a subscription product covers most of how you work and your team can live with the gaps, buy it. Bespoke makes sense when the gaps cost you daily in retyping, workarounds or lost orders, or when the process itself is what sets you apart from competitors.

Can a development team in India work well with clients in other countries?

Yes, if working hours and communication are agreed up front. India Standard Time is UTC+5:30 all year, so India is 4.5 to 5.5 hours ahead of the UK and 9.5 to 10.5 hours ahead of US Eastern time, depending on daylight saving there. Do you build mobile apps as well as web apps?

Yes. We build web applications, iOS and Android apps, AI agents, automations and integrations. For a business app, we'll usually ask whether a web app that works well on a phone would do the job first, because it avoids app store accounts and review cycles. If you need offline use, the camera or push notifications, a native or cross-platform app makes sense.

Who owns the software and the data?

Your data is yours, and you can export it to CSV at any time. We also recommend that domains, hosting, app store and API accounts are opened in your company's name from day one. Agree code ownership and repository access in writing before any work starts, with us or any other supplier.

What happens after the software goes live?

We train your team, stay close through the first weeks of real use and keep supporting and improving the system after launch. Changes after go-live are scoped and quoted before we do them, the same way as the original build.
